Pace of Play: Can On-Demand Buggy Dispatch Help?

Ask a golf operations director what keeps them up at night and pace of play is rarely far from the top of the list. The USGA has spent years campaigning on it, clubs publish target round times on the first tee, and entire committees exist to argue about marshaling policy. The reason is simple: pace of play is one of the few variables that hits both sides of a club’s ledger at once.

Why pace matters more than almost anything else

Revenue side. A course’s daily capacity is a function of round time. The math is unforgiving: a course turning rounds in 4 hours 10 minutes gets measurably more tee times through a Saturday than one averaging 4 hours 40 — and at peak green fees, those extra slots are some of the highest-margin revenue the property earns all year. Slow days don’t just annoy golfers; they delete inventory.

Satisfaction side. Survey after survey of member attrition puts pace of play in the top handful of reasons golfers leave a club or stop returning to a resort course. Unlike course conditions, it’s a complaint with a villain — that group ahead — which makes it emotionally sticky. Golfers forgive a rough bunker; they remember standing on a par-three tee for eleven minutes.

So clubs invest: marshals, GPS-tracked carts, tee-interval tuning, forward tees. All useful. But there’s a category of delay that most pace programs never touch, because it happens around the round rather than in it — and that’s where buggies come in.

Where buggies actually create bottlenecks

Talk to starters and pro shop staff and the same handful of buggy-shaped delays come up at almost every club:

The first-tee scramble. A foursome’s tee time is 9:00. At 8:52 they’re at the bag drop, but their carts are… somewhere. A staff member jogs to the barn, a radio call goes out, and the 9:00 group tees off at 9:09. On a full sheet, that nine minutes doesn’t dissipate — it propagates. Every group behind inherits the delay, and the starter spends the morning negotiating it back one interval at a time.

The turn that doesn’t turn. The classic resort-course failure: a group finishes nine, wants food, and the halfway house is backed up. Or they need a bathroom stop, or a player wants to drop a sweater at their villa. Without a way to summon a ride or relay a request, a 10-minute turn becomes 20, and the back nine inherits a gap that the tee sheet never planned for.

Player shuttle gaps. Resort guests staying on property need to get to the course. When the shuttle to the clubhouse runs on a fixed loop — or on a radio call to whoever’s free — late arrivals become late tee times. The pro shop ends up apologizing for a transportation failure it doesn’t control.

Breakdowns and swaps. A cart dies on the 7th hole. The radio call goes to the barn, the barn sends someone to find the group, and two holes’ worth of pace evaporates. The delay isn’t the breakdown — breakdowns happen — it’s the latency of the response.

Ferrying between nines and practice areas. On 27- and 36-hole properties, moving players between loops, ranges, and clubhouses is a continuous low-grade logistics problem usually solved by “whoever’s around with a cart.”

Notice the pattern: none of these are swing-speed problems. They’re dispatch latency problems. The delay is the time between “someone needs a vehicle” and “the right vehicle knows about it.”

The case for on-demand dispatch

On-demand dispatch — the model where a request goes into a system and is automatically offered to available drivers, with live status visible to everyone involved — attacks exactly that latency. Applied to a golf operation, it changes the failure modes above in specific ways:

  • Requests persist. A shuttle request from the villa to the first tee can’t be mis-heard or forgotten mid-radio-chatter. It sits in a queue until a driver accepts it, and the guest can see it was received.
  • The nearest free driver gets it. Instead of broadcasting to everyone and hoping, the system offers the job to the nearest free driver. No double-dispatch, no “I thought you were taking it.”
  • The requester sees an ETA. A member who can watch the shuttle approaching doesn’t call the pro shop twice — and crucially, doesn’t leave late “because the shuttle is always late anyway,” the self-fulfilling prophecy every ops director recognizes.
  • The operation gets a log. When did the 9:00 group actually request their lift? When did it arrive? Which holes generate breakdown calls? For the first time, the pace committee argues from data instead of anecdotes.

It’s worth being honest about scope here: dispatch software does not fix slow golfers. A group that takes six practice swings will take six practice swings regardless of how elegantly their shuttle arrived. What on-demand dispatch fixes is the operational delay layered on top of playing pace — the late starts, the stretched turns, the slow recoveries. On busy days, that operational layer is frequently the difference between a sheet that holds its intervals and one that collapses by 11 a.m.

What this looks like in practice

A composite sketch from the properties we’ve modeled — a 18-hole resort course with on-site lodging and a four-vehicle guest fleet:

  • Guests scan a QR code at the villa or lobby and request a ride to the clubhouse. Average request-to-pickup: under six minutes, visible to the guest the whole way. First-tee late starts attributable to transportation drop to near zero within a season.
  • The halfway house keeps a tablet open on the dispatch board. When the turn backs up, they flag it and the starter sees it before the gap forms on the back nine, not after.
  • A breakdown on course becomes a tap, not a search party: the marshal requests a swap to a hole location, the barn sees it instantly, and the response is measured in minutes — and measured is the operative word, because now there’s a number.
  • At the end of the season, the ops director pulls the demand curve and discovers Saturday’s peak is 8:15–9:45, not “mornings” — and re-shifts one driver accordingly instead of adding headcount.

None of these individually is dramatic. Collectively they’re worth several minutes per round on a busy day — and pace-of-play economics are made of exactly such minutes.

Implementation considerations

If you’re evaluating on-demand dispatch for a golf operation, a few things matter disproportionately:

  1. Zero guest friction. Golfers will not download an app for a shuttle ride. If the request flow isn’t “scan, tap, done,” adoption dies on the bag drop. QR-to-browser flows (PWAs) solve this.
  2. Driver simplicity. Your shuttle drivers may be seasonal staff in gloves and sunglasses on a moving vehicle. One big accept button and one status button per ride is the ceiling of acceptable complexity.
  3. Your map, not a generic one. Pickup points should be your named locations — bag drop, range, 10th tee, Villa 12 — on your course map, not pins on a generic satellite view.
  4. Works on property WiFi. Coverage at the far end of the course matters more than any feature. Ask any vendor how the system behaves when a driver drops signal behind the maintenance shed and reconnects.
  5. Start small. Pilot with the lodging-to-clubhouse shuttle for a month. It’s the highest-volume, most-measurable route, and it builds staff habit before you extend to on-course duties.

The bottom line

Pace of play is a system property, and the transportation layer is the part of the system most clubs have never instrumented. You can’t marshal your way out of late first tees and stretched turns — those are dispatch problems, and dispatch problems have a known solution shape.
