A few years ago, asking a guest to point their phone camera at a small black-and-white square and tap a banner that popped up would have produced a blank look. Today they do it without thinking — at the restaurant table, the parking meter, the airport gate, the museum placard. Somewhere in the last few years, scanning a code stopped being a tech gesture and became a reflex.
That shift is bigger than it looks, and most resorts haven’t fully cashed in on it. The QR code quietly became the universal front door to guest services — the one piece of interface guests already know how to use, already trust, and already expect. And it happens to solve the single most stubborn problem in guest-facing technology: the app nobody will download.
This article is about why that’s true, where on a property a code earns its keep, and how to make the scan actually pleasant once a guest commits to it.
The download problem nobody talks about honestly
Every hotelier has sat in a vendor pitch for a “guest app.” Branded icon on the home screen, push notifications, a unified hub for everything from room service to spa booking. The deck is always beautiful. The adoption is always terrible, and everyone in hospitality quietly knows it.
The math is brutal and it isn’t the vendor’s fault. A guest is on your property for an average of three or four nights. Installing an app costs them a store search, a download over patchy WiFi, an account signup, an email verification, and a permissions dialog — several minutes of friction and a permanent new icon — in exchange for a tool they’ll use a handful of times and delete on the flight home. As a rule of thumb, every step you add between intent and action sheds a chunk of the people who started. Stack five steps in front of a four-night convenience and the number who finish rounds to almost nobody.
So the app sits at 5% adoption, the front desk goes back to fielding phone calls, and the property concludes that “guests just prefer talking to a human.” That’s the wrong lesson. Guests didn’t reject the service. They rejected the download.
The QR code removes the download entirely. A guest points their camera at a code and a web page opens — no store, no install, no account. The thing they wanted is just there, in the browser they already have open a hundred times a day. You’re not asking for a relationship. You’re handing them a door.
Why the gesture is already trained
The reason this works now and didn’t in 2018 is that the world spent the pandemic years drilling the gesture into everyone. Restaurant menus went contactless almost overnight, and millions of people learned — out of necessity, at every meal — that you point your camera at the square and a menu appears. iOS and Android cameras have scanned codes natively since around 2017, so by the time menus normalized it, no separate “scanner app” stood in the way.
The result is a rare gift to anyone designing guest services: a piece of interface that needs no instruction. You don’t have to teach a guest what the code is or how to use it. You only have to put it somewhere they’ll see it at the moment they want what’s behind it. That’s a design problem, not a technology problem — which is the easiest kind to solve well.
Where a code earns its keep on a property
The mistake is treating the QR code as one thing — a generic “guest portal” link you stamp everywhere. The power is in contextual codes: the right service, offered at the exact spot and moment a guest wants it. Walk the property as a guest and the placements suggest themselves.
In the villa or room. This is the highest-value surface, because it’s where guests make most service decisions. A welcome card, a tent on the desk, a small placard by the phone — each can carry a code that opens exactly what that guest needs from that room. The code beside the bed knows it’s in Villa 23; the page it opens can already assume that.
At pickup and gathering points. The pool, the far beach, the spa courtyard, the dock — anywhere guests congregate and then want to go somewhere. A weatherproof code on a post at the beach turns “walk back and find a phone” into “scan and wait here.”
At the spa and activities desks. A code on the treatment menu that opens the booking page. A code at the dive shop or kids’ club that shows the day’s availability. The guest is already standing in front of the service, already interested — the code just removes the line.
At the restaurant. Beyond the menu, a code that opens reservations for the property’s other outlets, so a guest finishing lunch can book dinner across the property without walking to a host stand.
The pattern is the same every time: the guest is at a place, in a moment of intent, with a phone in their hand. The code meets all three.
The practicalities: making the scan succeed
A code that doesn’t scan is worse than no code, because it spends the guest’s goodwill and gives nothing back. A few unglamorous details decide whether that happens.
Size and distance. A code has to be large enough to scan from where the guest naturally stands. A card in the hand can be small; a sign on a post at the beach, read from a few feet away, needs to be much bigger than instinct suggests. The rule of thumb floating around is roughly a tenth of the scanning distance — a code read from two feet wants to be a couple of inches across. When in doubt, print it bigger.
Weatherproofing. Anything outdoors — pool, beach, dock, garden — meets sun, salt, rain, and sunscreen-smeared hands. A paper code by the pool is confetti within a week. Laminate it, print on weatherproof stock, or set it under acrylic. Sun-faded, low-contrast codes are a leading cause of silent scan failures.
A short URL as a fallback. Always print a human-readable short link beneath the code — something like stay.yourresort.com/buggy. Some guests have older phones, a cracked camera, or simply don’t trust scanning a code they can’t read. The short URL is the ramp for everyone the square leaves behind, and it costs you one line of text.
Signage copy that says what happens. Don’t make the guest guess what’s behind the code. “Scan an unmarked square” invites nobody. “Scan for a buggy — watch it arrive on the map” or “Scan to book your spa treatment” tells them the payoff and sets the expectation. State the benefit, not the mechanism.
What makes the post-scan experience good
Getting the scan is half the job. The page it opens is the other half, and it’s where most “QR experiences” fall down by dumping the guest into a slow, login-walled, desktop-shaped site.
A good post-scan experience has three properties:
Instant. The page loads in a second or two, even on resort WiFi. A guest who scanned at the beach and got a spinner has already given up. Light pages, served fast, beat feature-rich pages that crawl.
No login. The whole reason the code beat the app was zero friction. Don’t reintroduce it on the next screen. The guest scanned a code that already encodes who and where they are — make them prove nothing. The best post-scan flows ask for as close to no information as the task allows.
Mobile-first and obvious. Big tap targets, one decision per screen, the primary action unmistakable. The guest is standing in the sun, one-handed, possibly with a child on their hip. If the screen makes them pinch-zoom or hunt for a button, you’ve lost the moment you worked to create.
The test is simple: from scan to done, count the taps and the seconds. The fewer of each, the better the service — and a guest who has one frictionless scan will scan the next code on the property without hesitating.
A worked example: the ride that starts with a scan
On-demand guest rides are where this whole pattern shows its hand cleanly, which is why we built Resort Buggy around exactly it.
A guest in a villa wants a ride to dinner. The old path: find a phone, call the desk, describe where they are, wait without knowing if anyone heard, call again. Every step is friction, and the front desk wears all of it.
The QR path collapses that to a gesture. The guest scans the code in the villa, and the booking screen opens in the browser — no app download, no account. They pick their pickup point and destination from the property’s own named locations (the code in Villa 23 already knows where they are, so that’s one less tap). The request is offered to the nearest free driver; they accept, and the guest immediately sees the buggy approaching on a live map. The ride lands in a record on the GM’s dashboard, so the property finally has data on demand, wait times, and patterns. No payments change hands in the browser — the rides are complimentary, part of the stay.
Notice that the QR code isn’t a feature of that product so much as its front door. Strip the scan and you’re back to the phone call. Keep the scan, lose the download, and a service that used to require a staffed switchboard now starts with a gesture every guest already knows.
The quiet conclusion
You don’t need a guest app. You almost certainly never did. What you need is a set of well-placed doors that open instantly into the services guests actually want — and the square that opens those doors is one your guests were trained to use, by the rest of the world, for free.
The properties that win the next few years won’t be the ones with the most-downloaded app. They’ll be the ones whose every code scans on the first try, loads in a second, and gets the guest what they wanted before they’ve put the phone back in their pocket.
